Import Coordinator
Newbury
£24K – £32K per annum (based on experience)
Full-time (perm) 9am-5pm
 
Our client is looking for an Import Coordinator ideally with shipping/freight forwarding background, with a keen eye for detail, to join their busy Newbury office.
 
Order Processing

  • Overseeing UK order process import and export (all markets except waste): Entering orders into the system, printing out paperwork and submitting official order confirmations to suppliers and customers. 
  • Overseeing US order process: Entering orders into the system, printing out paperwork and submitting official order confirmations to customers 
  • Overseeing of information entry onto individual supplier order tracking sheets, and keeping record up to date.
  • Overseeing of order entry and entry of budget information onto spreadsheet.
  • Communication of Production / Shipment data to Customers for all orders.
  • Ensuring all contracts are managed in the correct way from start to finish, from discussing all details with the trader to the shipping of the goods from Europe and USA

Import/Export Documentation

  • Administering proforma and commercial sales invoices creation for port authorities / ships agents to facilitate customs clearance into the UK and release of goods to the customers. Liaising with the shipping lines.

Inventory

  • Informing customers of vessel arrival / shipment details
  • Sending weekly stock lists to customers
  • Keeping track of material over 60 days and invoice storage where applicable.
  • UK Warehouse Inventory Reconciliation at month and year end 
  • Performing the year end physical stock check at the warehouses

Transport – Managing the freight and logistics area (including all aspects relating to bookings, shipping lines and freight forwarders)

  • Dealing with call-offs from UK warehouses.
  • Running Financial report & Credit Checks before each Call Off

Invoicing 

  • Overseeing creating of invoices for material delivered based on delivery note received from the warehouse agent and/or mill (for back to back) and sending out to the customer
  • Overseeing creating of VAT invoices where necessary.

Weekly / monthly reporting

  • Entering EC Sales (Import & Export) and Intrastat figures onto the HMRC website.

Accounts Payable & Receivables

  • Check supplier invoices, match with worksheet 
  • Forward remittance advices to confirm payment
  • Assisting US office with allocation of prepays and open accruals
